Preventing no-shows: how to go from 55% to 85% show-up rate

A no-show rate of 30-40% is not an unavoidable part of the job — it's a systems problem with a systems solution. Best-practice show-up rate: above 80%. Most landscaping businesses sit between 50-65%. That gap costs direct revenue.

The three-step system

1. Raise commitment at booking: ask "What's the biggest reason you scheduled this conversation?" People who articulate their motivation are more committed. Send a WhatsApp confirmation asking one follow-up question — clients who respond show up.

2. Reminder sequence: 48h before ("Send me a ✅ if you're still in"), 24h before ("I've looked at your situation and have some insights to share"), 1h before ("Talk in an hour"). Three messages. First asks for confirmation. Second raises expectation. Third is a soft reminder.

3. After a no-show: wait 10 minutes, call directly. One follow-up attempt. After two non-responses: close the lead. A client who doesn't show up twice is not a good client for your business.
